Mailbox Full? How to Free Up Email Space with POP
When a mailbox hits its quota, new mail bounces back to senders. On EconomicalHost plans, email space is working space — not long-term storage — so the permanent fix is downloading mail to your own computer via POP.
Step-by-step
- Confirm the situation. cPanel → Email Accounts shows a usage bar per mailbox; the full one will be at or near 100%.
- Set up POP in your desktop client (Outlook, Thunderbird, Apple Mail) — see configuring POP download. POP downloads messages to your computer where storage is effectively unlimited.
- Set "remove from server" to 7–14 days. This keeps a short window for webmail/phone access while guaranteeing the server empties itself.
- Let the client download everything. A very full mailbox may take a while on first sync — leave it running.
- Clean the other folders. POP only fetches the Inbox: log in to webmail and empty Sent, Trash and Spam folders (Sent mail accumulates silently for years).
- Verify the usage bar has dropped in Email Accounts. Mail flow resumes automatically as soon as the box is under quota.
- Prevent recurrence: keep the POP schedule, empty Sent/Trash quarterly, and per-mailbox quotas sensible.
